The Multidisciplinary Association for Psychedelic Studies (MAPS) is a 501(c)(3) non-profit research and educational organization that develops medical, legal, and cultural contexts for people to benefit from the careful uses of psychedelics and marijuana. Research indicates that psychedelics have the potential to be a breakthrough in treating PTSD, depression, addiction, and other conditions.
MAPS has worked for over 37 years toward paving the way for the education and legalization of such breakthrough medicines. MAPS is committed to bringing these healing modalities to the world and providing them in such a way that communities that most need mental health resources have access to them. This shift has the potential to unlock previously unavailable resources for the investigation of psychedelic-assisted treatments applied to our most critical mental health challenges. The Contracts & Legal Policy Manager plays a pivotal role in the functionality of the Legal Department by supporting the General Counsel in overseeing the legal, compliance, and risk management functions for MAPS.

MAPS is seeking an experienced and skilled Contracts & Legal Manager. We are a dispersed workforce of full-time employees in a remote work environment. The General Counsel is located in California.
Reporting to the General Counsel, the Contracts & Legal Manager will oversee the contracts process, project manage a variety of complex legal matters, and provide general support to the legal function.
This important work requires a special candidate who shares MAPS’ vision and embraces our mission to develop medical, legal, and cultural contexts for people to benefit from the careful uses of psychedelics and marijuana. The Contracts & Legal Manager will be involved in confidential and sensitive matters that require discretion and discernment. This position also requires strong writing, data analysis, and project management skills. The ideal candidate must be an extremely skilled and effective communicator.

Primary Roles and Responsibilities:
We are sharing a full list of strategic responsibilities because we aim to give a full picture and scope, not because we expect you to have previous experience in each area. Oversee the Contracts process

  • Manage the entire contract process, and shepherd contracts from the initial request all the way to contract execution and filing.
  • Develop a library of contract templates that can be used as the starting point for new contract requests.
  • Begin the process of creating contract drafts for contracts counsel to finalize.
  • Collaborate with People Operations, Finance and external counsel as necessary to ensure that all steps of the process are followed in a compliant and efficient contract managers apprised of the progress and issues that arise relating to their contract requests.
  • Alert the General Counsel as needed when there are issues that cannot be resolved with contracts counsel.
  • Train new staff on the contracts process.
  • Always be on the lookout for ways to make the process more efficient.
  • Customize, integrate and upgrade as necessary, the various technological platforms that are involved in the process, e.g., SharePoint, Google Drive, Google Docs, forthcoming Contract Management software, etc.
  • Work with external software vendor to implement, customize and launch Contract Management system.

Oversee Legal Registrations

  • Oversee all of MAPS’ required annual federal, state and local registrations.
  • Required registrations, include:
  • State agent for service of process registrations
  • State business registrations
  • State fundraising and fundraising support registrations
  • US Census Bureau – Annual Business Survey
  • Maintain a database of all registrations, with renewal dates to ensure that MAPS is always in compliance with all registration requirements.
  • Stay abreast of state law requirement changes.

Insurance Support

  • Attend monthly meetings with MAPS’ insurance broker.
  • Answer broker’s ongoing requests by tracking down and delivering internal documents and information to MAPS’ broker as necessary.
  • Oversee annual renewal applications for existing insurance policies.
  • Oversee applications for new policies as needed.
  • Oversee requests from MAPS’ managers for Certificates of Insurance.

Legal Filing

  • Oversee all of MAPS’ legal files.
  • Create a sequestered and privileged access Google Drive library of legal files organized by legal matter.
  • Migrate all of MAPS’ legal files from SharePoint to the Legal Files Google Drive.
  • Create a sequestered and privileged access Google Drive library of board meeting files organized by board meeting date.
  • Ensure all legal meeting files are properly named and dated, so they can be found with relevant search terms.
  • Ensure all legal files are maintained in compliance with MAPS’ Document Retention Policy.

General Support

  • Schedule meetings, oversee the General Counsel’s work calendar.
  • Create slide decks.
  • Make travel arrangements.
  • Process expense reimbursements

Our ideal candidate for this role is someone who…

  • Has 5+ years of progressive experience in overseeing contract administration and/or supporting in-house legal functions.
  • A proven ability to create efficiencies and work collaboratively.
  • Strong project management skills with experience in leading complex projects from conception to completion.
  • Supreme written and verbal communication skills, with the ability to convey complex ideas clearly and concisely.
  • Extremely detail-oriented.
  • Strong ability to multitask.
  • Motivated, self-starter.
  • Strong analytical and problem-solving skills.
  • A flexible and adaptive approach to navigating in a dynamic environment.
  • Strong ability to maintain confidentiality and discretion when working with sensitive information.
  • Is committed to Healing for All and ending the War on Drugs.
  • Is a kind, caring, compassionate team member.
  • Optional, But Preferred
  • Significant experience working or volunteering for a mission-driven nonprofit organization.
  • Experience working in a law firm or in-house legal department.
  • Paralegal experience, certificate or coursework.
  • Notary public.

Compensation, FLSA Status, Location, and Hours:

  • Full-time, salaried, exempt
  • Starting Salary Range: $80,000 - $90,000
  • Location: This is a remote position, west coast preferred, that will require you to have a suitable workspace with secure internet and reliable phone reception.
  • This position requires frequent phone and internet meetings. Certain home office expenses may be covered. A work computer will be provided
  • Applicants will need to be available during modified business hours (8:00 AM - 5:00 PM PT, Monday through Friday). Occasional weekend hours may be required with advance arrangement and travel a few times a year may be required
